What we collect, why and on what basis
We collect what the forms on this site ask for, and the technical data needed to run the site safely.
| What we collect | Why we use it | Legal basis | How long we keep it |
|---|---|---|---|
| Name, phone, email, business name and message from the quote and enquiry forms. On the commercial quote form you can also say whether you are asking about a job or a maintenance contract | To reply to your quote request or enquiry and to send you a confirmation | Steps you ask us to take before a contract, where you ask for a quote for yourself; our legitimate interests in answering enquiries, where you send a general enquiry or ask for a quote on behalf of a business | Up to 24 months |
| Name, contact details, role and message from the job application form | To consider your application, reply to you and send you a confirmation | Our legitimate interests in recruiting staff | Up to 6 months |
| A CV and any emails you send us after we reply to your application. Please do not include health details or details of past convictions. If they are included, we do not use them to assess your application and we delete them | To assess your application and reply to you | Our legitimate interests in recruiting staff | Up to 6 months. If we hire you, they become part of your employment record |
| Delivery reports from our email service, telling us whether an email we sent you was delivered, bounced or was marked as spam | To make sure our replies and confirmations reach you, and that we do not lose a message because an email failed | Our legitimate interests in making sure our replies reach you | Kept with the enquiry or application it belongs to, so for the same period |
| Your IP address and basic technical details of your visit | To keep the site secure, stop abuse and find faults | Our legitimate interests in protecting the site and our customers | Our database does not store your IP address. It can appear in the technical logs of our hosting provider, Cloudflare, which keeps them for the period it sets |
Usage data from Google Analytics: pages viewed, taps on our phone number and forms sent, and the campaign labels in the link you came from (utm_source, utm_medium, utm_campaign, utm_content and utm_term). Stored with a random ID, not your name |
To count calls and form submissions and see which pages and which of our ads help | Your consent | Google keeps it for the period set in our account, no more than 14 months |
| Advertising data from Google Ads, the Meta pixel and the TikTok pixel, each switched on by you: pages viewed, taps on our phone number and forms sent, a cookie identifier, your IP address and details of your browser | To measure how our Google, TikTok, Instagram and Facebook ads perform | Your consent, separately for each of the three | Set in Google’s, Meta’s and TikTok’s systems. Cookie lifetimes are in the Cookie policy |
| Your cookie choice | To remember whether you accepted or rejected analytics and advertising | Our legal duty under the cookie rules (PECR); our legitimate interests in respecting your choice | Kept in your browser, not on our servers, until you choose again or clear your browser data. We ask you again after 6 months |
Our legitimate interests
Where we rely on legitimate interests, we have weighed them against your rights. Our interests are replying to people who contact us (including people who write to us on behalf of a business), making sure our replies reach you and that no genuine message is lost, recruiting staff and keeping this site secure. We use the minimum data for each, and you can object (see Your rights).
If the security check on a form could not be completed when you sent it, your name, contact details and part of your message are included in a daily summary email to our office mailbox. We keep that summary for no longer than the enquiry or application it contains (24 or 6 months).
What to put in your message
Please do not enter door, alarm, key safe or other access codes in a form. Please do not enter health details, or other sensitive details, about yourself or anyone else. We do not need them to reply. If you do enter them by mistake, tell us and we will delete them.
We do not check that the name, email or phone number in a message belongs to the person who sent it. If someone has used your details without your knowledge, tell us and we will delete them.
Copies that outlive those periods
Deleting a record from our database does not remove every copy straight away.
- Notification emails in our office mailbox are deleted after 24 months (enquiries) or 6 months (applications).
- Our email sending service keeps a log of the emails it sends, which can include the message text. It deletes these logs after a short period set by the provider, up to 40 days.
- Database backups are kept for a short period set by the provider, up to 30 days. We do not routinely make other copies of personal data.
- Our hosting provider keeps technical logs of visits, which can include your IP address, for the period it sets.
Who receives your data
- Cloudflare: hosts this website, stores form submissions in its database and runs the security check on forms.
- Resend: sends our notification emails and the confirmation email to you, and tells us whether our emails were delivered.
- Google: provides Analytics, if you accept analytics cookies. Google Ads (Google Ireland Limited and Google LLC) measures how our Google ads perform, if you accept Google Ads, and receives page views and events, a cookie identifier, your IP address and browser details.
- TikTok (TikTok Technology Limited, Ireland, and its group companies): receives page views and events, a cookie identifier, your IP address and browser details through the TikTok pixel, if you accept TikTok.
- Meta (Meta Platforms Ireland Limited and Meta Platforms, Inc.): receives the same kind of data through the Meta pixel, if you accept Meta.
- Our email provider: receives the enquiry and application emails in our mailboxes.
Cloudflare, Resend and our email provider act on our instructions and for the purposes above. Google acts on our instructions for Analytics. Google Ads, TikTok and Meta can also use the data from their tools for their own purposes, under their own privacy notices. We do not send your name, email address, phone number or message to Google, TikTok or Meta. We do not sell your data and we do not pass it to anyone else, except where the law requires it.
Transfers outside the UK
Cloudflare, Resend, Google and Meta are based in, or run servers in, the United States and other countries outside the UK. TikTok may process data, or give access to it, in the European Economic Area, the United States and other countries, including by staff outside the UK and the European Economic Area. When your data goes there, we rely on UK-approved safeguards. These are the UK Extension to the EU-US Data Privacy Framework where the company is certified, and otherwise the ICO’s International Data Transfer Agreement or the UK Addendum to standard contractual clauses. You can ask us for details using the contact address above.
Do you have to give us your data?
No law or contract requires you to use our forms. If you do, we need your name and at least one way to contact you (phone or email), or we cannot reply. You do not have to accept analytics or advertising cookies, and the site works the same if you reject them.
Where we get your data
We get the data above from you, through the forms and your browser, and from the emails you send us yourself, including a CV if you send one after we reply to your application. Our email service also tells us whether an email we sent you was delivered, bounced or was marked as spam. We do not buy personal data or get it from any other source.
Automated decisions
We do not make decisions about you by automated means that have a legal or similarly significant effect, and we do not build profiles of you ourselves. The security check on our forms tells people and automated programs apart. It does not judge you. If you accept Google Ads, Meta or TikTok, that company may do its own measurement and ad targeting under its own privacy notice.
Cookies and analytics
Two things are strictly necessary: a record of your cookie choice, and the security check on pages with a form. Analytics, Google Ads, Meta and TikTok each have their own switch and are off by default. We switch one on if you accept it, and its cookies are then set on your device. You can change your mind at any time from Cookie settings in the footer. The Cookie policy has the details.
Your rights
You can ask us to:
- show you the data we hold about you and give you a copy;
- correct data that is wrong;
- delete your data;
- restrict how we use your data;
- send your data to you in a portable form, where this right applies;
- stop using your data where we rely on legitimate interests (the right to object).
Email office@testagas.co.uk and we will reply within one month. We may need to confirm who you are before we share or change anything.
Withdrawing consent
You can withdraw your consent to analytics, Google Ads, Meta or TikTok at any time using Cookie settings in the footer. Withdrawing does not affect what we did with your data before you withdrew.
Complaints
If you are not happy with how we use your data, please tell us first at office@testagas.co.uk so we can put it right. We will acknowledge your complaint within 30 days and tell you the outcome. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. Our UK privacy addendum sets out the complaint routes in full.
Changes to this notice
When we change this notice we update the date at the top of the page. If a change affects how we use your data, we say so on this page.
